An ultrasound can arrive in Juba on the agreed day while the room is still unready for it. The doorway may be unsuitable for the cart, the intended reporting connection unresolved or the cleaning workflow incomplete. A short readiness sign-off before dispatch helps prevent a delivery from becoming a storage exercise.

Start with the exact configuration
Record the scanner model, cart or trolley, probes, printer and any requested network or reporting options. Obtain the current site and installation instructions for that configuration. A requirement copied from another model may be wrong even when the machines look similar.
GE HealthCare’s site-planning resources, for example, provide model-specific ultrasound information and direct users to the relevant site-preparation documentation. This illustrates the need for specific instructions; it does not imply that Exper represents that manufacturer or that one manufacturer’s limits apply to every scanner.
Walk the route from receiving point to room
Confirm the unloading location, who handles the equipment and how it reaches the examination room. Check the route against the packaged and unpackaged dimensions supplied for the actual system. Discuss stairs, lifts, thresholds and any specialised unpacking requirements with the supplier.
Inside the room, consider patient access, examination furniture, operator movement, probe storage and privacy. Ask the clinical operator to review the layout. Avoid treating an empty corner as a completed installation plan.
Assign technical checks to qualified people
Have the appropriate technical personnel assess the electrical supply and any proposed backup arrangement against the manufacturer’s requirements. Do not buy a generic power accessory and assume compatibility. Temperature, ventilation and other environmental limits must also come from the selected system’s documentation.
Give each unresolved requirement an owner and a completion date. A photograph of a wall socket can help identify its location; it cannot certify electrical safety. Confirm what the supplier will check and what the facility must arrange independently.
Prepare the reporting and probe-care workflow
If printing or network transfer is needed, identify the destination, required functions and person responsible for configuration. Have the IT and clinical teams approve the intended handling of patient information. Do not infer connectivity from the presence of a network port.
For probe care, confirm the applicable cleaning and disinfection instructions and make the required supplies and workflow available before clinical use. Our probe reprocessing workstation guide covers that subject in more detail; our probe-package guide addresses configuration.
Agree what acceptance will demonstrate
For an illustrative readiness record, “room cleared; electrical review pending; printer configuration unconfirmed” is more useful than “installation ready.” Agree who will identify the delivered components, carry out the required checks, demonstrate ordered functions and record user orientation. Keep demonstration activities separate from clinical reporting until the facility authorises use.
Exper Medical Network supplies medical equipment from Uganda to South Sudan and coordinates delivery with reliable transport companies. Send your Juba destination, ultrasound requirements, equipment list and quantities through our South Sudan hub. Confirm charges, timing, route, handling and documentation for that order, together with whether installation is included and how it will be delivered. Supply coordination from Kampala is not a promise of local technical presence.
