X-Ray Room Site Readiness in Uganda: A Pre-Purchase Checklist

Plan an X-ray room in Uganda before ordering: review shielding, power, cooling, access, detector workflow, installation and acceptance responsibilities.

By Exper Medical Network Ltd · Published

An X-ray equipment quotation and an X-ray room plan solve different parts of the same project. Hospitals and diagnostic centres in Uganda should review the proposed system, room, workload and surrounding spaces together before approving construction or placing an equipment order.

This checklist supports procurement discussions. It is not a shielding calculation, radiation-safety approval or installation drawing. Use appropriately qualified radiation-protection, medical-physics, engineering and regulatory professionals for the project.

Define the intended examinations and workload

Tell the supplier whether the planned service is general radiography, mobile imaging or another modality, and list the examinations and expected workload. Confirm whether the quotation is for a complete digital system or whether any generator, table, bucky, detector, workstation or software will be retained.

Ask for the exact model configuration and manufacturer site-planning documents. Exper's X-ray machines in Uganda page explains why the equipment configuration, detector, workstation, delivery and installation scope should be identified in writing.

Review the room before finalising the equipment

Provide an accurate room drawing with dimensions, doors, windows, adjacent spaces and their occupancy. Include the proposed control position, patient route, equipment location and any future expansion. Do not copy shielding thickness from another facility or a catalogue illustration.

The IAEA Safety Guide SSG-46 states that radiation-protection features are best incorporated at the facility-design stage. It notes that siting and layout depend on the procedures, workload and patient flow, and that time, distance and shielding should be combined in the design. A qualified expert should perform the facility-specific assessment and account for applicable Ugandan requirements.

Confirm utilities and environmental conditions

  • Obtain the manufacturer's electrical requirements, including supply, protective devices, earthing and any dedicated circuits.
  • Ask whether voltage stabilisation, a UPS or other power protection is required for each component.
  • Confirm permissible temperature, humidity and ventilation conditions for the examination room, workstation and detector.
  • Identify network, data storage, printing and image-transfer requirements.

Have the facility electrician and biomedical team verify the proposed services against the offered model. A generic voltage statement is not enough to size wiring or protective equipment. The IAEA guide also notes that air conditioning should maintain the manufacturer's specified environmental range while meeting health and safety needs.

Check delivery and installation access

Measure gates, corridors, stairways, lifts and door openings on the delivery route. Ask for package dimensions, weights and lifting requirements. Confirm whether floors, walls or ceilings need structural preparation and who is responsible for any builder's work before the installation team arrives.

For an order travelling to Juba, agree the border documentation, receiving contact, secure storage and onward movement before dispatch. The Kampala-to-Juba equipment guide helps structure those delivery questions.

Separate supplier, facility and specialist responsibilities

Ask the quotation to identify who supplies and installs the equipment, detector, workstation, cabling and accessories; who designs and verifies shielding; who provides electrical and building works; and who handles permissions, radiation surveys and registration. Record dependencies and acceptance criteria rather than assuming that “installation included” covers the whole project.

Clarify training, manuals, warranty start date, preventive maintenance and fault-response arrangements. Keep serial numbers and acceptance records using the medical equipment handover checklist.

Plan acceptance before clinical use

Agree the installation checks, image-quality and safety tests, documentation and authorised sign-offs required before the system enters service. Shielding verification and radiation surveys must be performed by qualified personnel under the applicable process. Train operators on the supplied system and retain the manufacturer's instructions.
