For a hospital, clinic or laboratory in Juba, a useful equipment quotation must answer more than “How much does the machine cost?” It should define what will arrive, how it will get there, who will receive it and what support is included. This guide explains how to prepare an enquiry for Uganda-to-Juba medical-equipment supply.
Start with the clinical and operational requirement
List the equipment by department, quantity and intended use. Include essential features and accessories, while separating them from optional preferences. Have your clinical and engineering teams agree the requirements before comparing models.
- Ultrasound: examinations, probe requirements and portability.
- Laboratory equipment: test menu, sample workload and consumable needs.
- Theatre equipment: room layout, equipment compatibility and installation scope.
- Neonatal equipment and patient monitors: required functions, accessories and staff handover.
- Hospital beds: quantities, required functions and the receiving facility’s handling arrangements.
Compare complete quotations
Request the manufacturer, model, condition, configuration, included accessories, availability and estimated lead time in writing. If an alternative is offered, ask what differs from your original requirement. Do not assume a catalogue image confirms the exact package or current stock.
For example, the Mindray BC-10 enquiry page identifies a catalogue model; your quotation should still specify the supplied package, consumables and support. A model name alone does not settle the delivery or installation terms.
Separate equipment cost from delivery responsibilities
Ask the quotation to distinguish the equipment price from packing, freight, insurance if arranged, clearance services, applicable duties or taxes, and onward delivery. Clarify which charges are included, excluded or payable by the importer. Have the responsible agent confirm current statutory charges for the shipment.
Identify the receiving point precisely: a border collection point, a Juba receiving point or your facility’s premises are different delivery scopes. Record who arranges unloading, who signs for the goods and who is responsible at each stage. Agree the payment terms and delivery scope before making payment.
Plan packaging and transport before collection
Ask the supplier and transporter to agree a packing method suitable for each item and its manufacturer’s guidance. Photograph equipment and sealed packages before collection, label packages clearly and keep a numbered packing list. Confirm handling arrangements for heavy or bulky items and protect separately packed accessories.
Request a route update close to dispatch and a realistic delivery window. Published corridor announcements cannot guarantee a particular journey. Read our 2026 Kampala–Juba corridor update and allow for clearance or transport delays in your project timetable.
Make the facility ready for installation
Before arrival, ask the installer to confirm the equipment’s site requirements, including space, access, power and any other services needed. Arrange for the relevant staff to attend handover. Do not assume transport includes installation, commissioning or operator training: list each service explicitly in the agreed scope.
On receipt, inspect package condition, reconcile quantities and accessories, record serial numbers where applicable and report discrepancies promptly. Retain manuals, warranty documents and contact details for technical support. Follow the agreed installation and acceptance process before bringing the equipment into service.
