Maternity Equipment Quotes for Juba, South Sudan: Define the Whole Ward

Prepare a maternity equipment quotation request for Juba with clinical scope, quantities, accessories, site needs and delivery responsibilities.

By Exper Medical Network Ltd · Published

A quotation for a delivery bed is not a quotation for a maternity service. A facility in Juba needs to specify the equipment, supporting supplies and handover work that its clinical team actually requires. Otherwise, the missing items tend to become obvious when the room is nearly ready—and the original budget is nearly gone.

JUBA · SOUTH SUDAN — Quote the whole working ward. — Define the service — Specify each package — Assign delivery and handover
Editorial planning guide; not a product specification, availability statement or delivery promise.

Define what the ward will do

Ask the maternity lead to describe the services planned, the spaces available and the level of care the facility is equipped and authorised to provide. Distinguish routine care, management of complications and referral arrangements. Do not assume that purchasing a particular device establishes the staff competence or infrastructure needed to use it.

WHO’s maternal and newborn care standards consider competent personnel, referral systems and essential physical resources together. Use that principle to organise the request, not as a universal shopping list or a claim that one package meets every facility’s requirements.

Build the request by work area

For each planned area, have the clinical team identify what is needed, what already exists and what must be replaced. Possible headings include assessment, labour and birth, postnatal care, newborn care, storage and instrument processing. The team should determine the actual contents and quantities.

Keep emergency equipment and supporting supplies visible in the requirements rather than hiding them under “maternity accessories.” Include privacy, cleaning and safe storage in the discussion. Where equipment is shared with another department, identify who controls access and whether that arrangement supports the intended service.

Describe complete packages on separate lines

For a bed or table, specify the intended use, compatible mattress and required supports or accessories. For a powered device, list the functions, patient group, compatible accessories and consumables the team requires. Ask for manufacturer and model identifiers, condition, warranty and documentation.

As an illustrative example, a request could distinguish a postnatal bed package from a delivery-bed package instead of writing “four maternity beds.” That avoids comparing different products under one heading. Our examination-bed versus delivery-bed guide explains another distinction worth resolving before ordering.

Include the room and the handover

Send the room layout, access constraints and available utilities. Ask which requirements depend on the selected model and which site works must be completed before installation. Identify the staff who will receive equipment and attend user orientation.

Request separate confirmation of delivery, unloading, assembly, technical acceptance and training. A supplier’s equipment price does not automatically include these activities. Record unresolved requirements before accepting the final scope, and ask the clinical and biomedical leads to review the proposed package.
