Buying an Infusion Pump in Uganda: Specify the Pump and Consumables Together

A practical infusion-pump procurement checklist for Ugandan hospitals: clinical requirements, compatible consumables, user evaluation and acceptance testing.

By Exper Medical Network Ltd · Published

A low pump price can hide a difficult purchasing problem: what happens when the hospital needs its next box of compatible infusion sets? For hospital procurement teams, the useful comparison is the complete working system—not the device alone.

Before requesting quotations in Uganda or South Sudan, prepare a requirement jointly with nursing, pharmacy, clinical and biomedical engineering staff. The goal is a purchase that fits the intended service and can be supported after the starter supplies run out.

Start with the clinical task, not the catalogue label

The FDA's overview of infusion pumps describes different mechanisms and specialist purposes. A syringe pump moves fluid from a syringe; other designs use different reservoirs and delivery mechanisms. “Infusion pump” is therefore not a sufficiently precise specification.

Ask clinicians to document the intended patient groups, therapies, setting and required delivery performance. Ask each bidder to explain how its exact model meets those requirements. This article is a purchasing guide, not advice on drug doses, infusion settings or clinical operation.

Make consumable compatibility a written requirement

Request the manufacturer's current approved consumable references for the proposed configuration, including applicable syringe sizes or administration sets. Have the technical team check the documentation rather than accepting a broad “works with standard sets” statement.

For an illustrative comparison, imagine two offers: one lists the pump only; the other identifies starter consumables and their reorder codes. They are not yet comparable. Ask both suppliers for the same quantities, pack sizes and replenishment terms before deciding which offer is better value.

  • Identify the consumable reference and the documentation supporting compatibility.
  • Separate starter quantities from recurring orders.
  • Request current unit or pack prices and validity periods in the quotation.
  • Clarify how changes to the supplied consumable will be reviewed.

Let the people who use the pump evaluate it

FDA guidance for facility managers recommends multidisciplinary evaluation before purchasing and a plan for training and introduction. It also identifies problems involving interfaces, software, mechanical components and batteries. A demonstration should consequently examine more than whether the screen turns on.

Ask representative users to review the proposed workflow in a supervised, non-patient demonstration. Record questions about loading, controls, alerts and cleaning instructions. Where a drug library or connectivity is proposed, ask who will configure, approve and maintain it; do not treat an optional software feature as a complete hospital implementation.

Put acceptance and support into the purchase order

Request a commissioning plan with manufacturer-defined performance and safety checks performed by appropriately qualified personnel. Agree who signs acceptance and how unresolved issues are recorded. Ask the supplier to identify applicable safety notices for the exact model and configuration before handover.

Also request the electrical and battery specifications, mounting arrangements, manuals and service contact route. Identify which tasks the facility will perform and which need external support. Our service-agreement checklist helps turn a general promise of support into questions that can be answered in writing.

Send Exper a complete enquiry
