How to Compare Medical Equipment Quotations in Uganda

A practical quotation checklist for hospital and clinic buyers: scope, accessories, delivery, warranty and ongoing costs.

Two quotations can name the same type of medical equipment and still cover very different purchases. One may include accessories and installation; another may list only the main unit. Before choosing a supplier, put both offers against the same written requirement.

Write one requirement for every supplier

Start with the department, intended use, expected workload, quantity and delivery location. Ask the clinical users and engineering team to agree which features are essential. Separate optional features so an attractive extra does not distract from a missing requirement.

WHO highlights the role of technical specifications in planning equipment purchases and the resources needed to put equipment into use. For your enquiry, turn that principle into a simple list that every supplier can answer.

Check the complete package

  • Manufacturer, exact model and whether the unit is new or refurbished.
  • Configuration, accessories and quantities supplied with each unit.
  • Consumables or starter materials included, with their quantities.
  • Installation, commissioning and operator training, if included.
  • Manuals, warranty terms and the contact responsible for support.

Mark each requirement as included, excluded or awaiting clarification. Ask for a revised quotation when an answer changes the scope; keep the agreed version with the purchase record.

Separate the charges

Record the currency and quotation validity. Ask whether the price includes delivery to your named location, unloading and the agreed installation work. For cross-border purchases, have the supplier and clearing agent identify which shipment charges belong to each party. A destination written only as “Uganda” or “South Sudan” is too broad to define final delivery.

For your own budget, list the purchase amount separately from expected recurring purchases and support costs. Ask suppliers for the information needed to estimate consumables, service visits and replacement accessories. Do not treat an unpriced item as free.

Set a clear decision record

Keep a short comparison showing the price, unresolved questions and reasons for the selected offer. A lower initial figure may still be suitable, but the team should understand exactly what it covers. Confirm availability and lead time directly before ordering.
