An examination bed is often ordered early in a clinic setup, but its frame material is only one part of the decision. The bed also needs to suit the patients who will use it, the examinations planned and the room where staff will work. A photograph cannot confirm those requirements.
This checklist helps clinic managers in Uganda and South Sudan prepare a clearer quotation request. It covers purchasing and room planning, not patient-transfer techniques or clinical procedures.
Define the work the bed must support
List the examinations planned for each room and ask the clinical lead which positions and accessories are necessary. Separate a general examination couch from a gynaecological examination bed, delivery bed or procedure table. Do not assume that adding a loose accessory makes a general couch suitable for a different intended use.
Exper lists an epoxy-coated examination bed and a stainless steel examination bed, both described with padded surfaces and adjustable backrests. Ask for the exact supplied model and its documented limits before choosing between them.
Check patient access and staff working height separately
Record the surface height from the floor, usable width and length, and the space needed when the backrest is raised. Ask whether the overall bed height is fixed or adjustable; an adjustable backrest does not establish that the whole bed moves up and down.
Discuss access needs with the clinical team, including patients who use mobility aids or cannot easily climb onto a high surface. Agree how the room and equipment will support the facility's approved transfer arrangements. A step should not be treated as the answer for every patient.
For comparison of specification fields, Midmark's Ritter 244 documentation lists height range, surface dimensions and patient capacity separately, with a different capacity for its castor configuration. These are examples of questions to ask, not specifications or a stocking claim for Exper's beds.
Request a documented load limit
Ask for the manufacturer's patient-weight limit or safe working load, how it is defined, and whether it changes with accessories or configuration. Have the supplier identify any separate limits for the backrest or attachments. Neither the weight of the bed itself nor a description such as “heavy duty” is a substitute for that information.
Also ask how the backrest locks, what inspection is required and who can replace a worn mechanism. Staff should receive the model-specific operating instructions rather than relying on a demonstration alone.
Compare the complete surface, not just the frame
Ask about upholstery material, seams, removable cushions, exposed joints and access beneath the bed. Request the manufacturer's permitted cleaning and disinfection products, contact times and drying requirements. Let the infection-prevention team check compatibility with the facility's routine supplies before ordering.
For either stainless steel or a coated frame, inspect the supplied finish and ask how damage is handled. Avoid assuming that the material name proves a particular steel grade, corrosion performance or suitability for every chemical. Confirm whether replacement upholstery and backrest parts can be quoted separately.
Measure the room and receiving route
- Mark the bed footprint and the clearance staff need around it.
- Check doorway width, corridor turns, stairs and the final room entrance.
- Allow space for privacy screening, examination lighting and a nearby trolley.
- Ask for packed dimensions, assembly requirements and responsibility for installation.
- For a powered alternative, request electrical requirements before choosing a socket or backup arrangement.
At delivery, check the model, accessories, finish and adjustment mechanisms against the order before accepting the bed for use. Record any damage and arrange the agreed functional inspection. Our equipment delivery and handover checklist covers the broader receiving process.
Prepare an examination-bed enquiry
Send the room's intended use, patient-access needs, required dimensions and load capacity, preferred frame, accessories, quantity and delivery destination. Ask suppliers to separate the bed, optional accessories, assembly and transport in the quotation. Use our quotation comparison guide to record exclusions.
