“Please send a diathermy pencil” is a risky purchasing brief when the receiving theatre has several generators and different accessory systems. A connector that appears to fit does not establish that the proposed combination is approved. Start with the equipment identity and clinical requirement before asking for a price.

Build an identity pack for the enquiry
Record the generator manufacturer, exact model and relevant configuration. Add the existing accessory reference where available, plus clear photographs of labels and connections with patient information excluded. Describe whether you are replacing a known component or asking for a new function.
If identification is unclear, have the biomedical team resolve it before the order is approved. Do not ask procurement staff to choose by colour, shape or a photograph alone. The useful outcome is a traceable part reference supported by documentation, not a supplier’s informal assurance that it is “universal.”
Specify the required system, not only one component
Have the clinical team identify the intended procedure requirements and whether the request concerns monopolar, bipolar or another specified technology. Ask the supplier to state which accessories, connecting cables, activation controls and return-electrode arrangements apply to that exact system. This is a compatibility enquiry, not an instruction for clinical settings or use.
Manufacturer documentation illustrates why specificity matters. Medtronic’s Aquamantys information limits that generator to its specified bipolar devices; its PlasmaBlade information also identifies qualified generator and accessory requirements. These examples do not imply that Exper represents Medtronic or that one system’s instructions apply to other equipment.
Ask for a written compatibility statement
Request the manufacturer and reference of every proposed component, together with the documentation supporting the combination. Have a qualified biomedical professional review it against the generator instructions. Where an adapter is proposed, require the same evidence for the complete arrangement rather than treating the adapter as a solution by itself.
For example, a hypothetical quotation may include an instrument but omit its required cable. Another may include a cable that belongs to a different generator family. An itemised comparison makes the difference visible before the equipment reaches the theatre. Our quotation comparison guide provides a broader framework for recording exclusions.
Include processing and replenishment
Identify single-use and reusable items separately. Ask for the applicable handling, inspection and reprocessing instructions for reusable components and let the infection-prevention team assess whether the facility can follow them. Do not assume a reusable instrument’s cable can be processed in the same way as the instrument.
For consumables, request pack sizes, replenishment availability and any storage or shelf-life conditions. Discuss the continuity plan without assuming stock is held locally. A low initial accessory price is less helpful when the required replacement cannot be identified later.
Agree acceptance before clinical use
At receipt, reconcile the delivered references and condition with the approved list. Ask the biomedical team to arrange the inspections and functional checks required by the manufacturer and the facility, using appropriate equipment and trained personnel. A connection test alone is not a safety clearance.
Document the result, user orientation and unresolved issues before release through the facility’s normal process. Our maintenance-record guide helps keep those decisions traceable. Do not put damaged or unverified combinations into service while waiting for clarification.
Send Exper your Uganda destination, generator identification, required components and quantities through the equipment enquiry form. Ask our technical support team to confirm whether the required sourcing or assessment can be provided and to define its scope in writing.
