CBC Analyser Running Costs: A Reagent Budget for Ugandan Labs

Plan CBC analyser running costs in Uganda: reagents, controls, cleaning materials, expiry dates and a practical cost-per-report budget.

By Exper Medical Network Ltd · Published

A CBC analyser quotation is only one part of a laboratory budget. Before choosing a machine for a clinic in Uganda, ask what it will cost to keep producing reportable results at your expected workload. A low purchase price does not tell you how much cash you will need for the next reagent order.

Start with your actual sample volume

Write down expected patient samples per day, working days per month and how unevenly samples arrive. Separate your current workload from hoped-for growth. Build a second budget for a quieter month: supplies with a limited usable life may be harder to use efficiently when sample numbers fall.

For a new laboratory, ask the laboratory lead to document these assumptions before requesting offers. Existing facilities can use recent workload records. The aim is a budget you can explain, rather than a supplier's maximum throughput multiplied by every working hour.

Ask for a model-specific supply list

Request an itemised list of reagents, cleaning materials, controls, calibrators and other consumables required for the exact analyser. Ask which are included at startup and which need a separate order. Mindray distinguishes haematology controls and calibrators from the analyser itself; these should not disappear inside a vague description such as “complete machine”.

  • Record each item's name, catalogue code, pack size and price.
  • Ask the supplier to confirm compatibility with the quoted model in writing.
  • Request consumption assumptions for patient testing, routine checks, cleaning and startup procedures, as applicable to that model.
  • Ask for unopened expiry, usable life after opening and required storage conditions.
  • Confirm the expected replenishment lead time and whether small replacement orders are available.

Follow the manufacturer's instructions and the laboratory's quality procedures when deciding how controls, calibration and cleaning are performed. A purchasing estimate must not become a reason to reduce required quality checks.

Calculate cost per report, not just cost per pack

A useful internal estimate is: monthly routine operating cost divided by the number of patient reports released that month. Keep the assumptions visible. Include the supplies used for quality activities, repeat runs and cleaning, as well as patient testing; allow for material that cannot be used before expiry.

For illustration only, if a laboratory budgets 900,000 UGX in routine operating costs and releases 300 patient reports, the estimate is 3,000 UGX per report. At 150 reports with the same total cost, it becomes 6,000 UGX. These are invented planning figures, not Exper prices or a prediction of any analyser's performance. Actual costs can change with workload.

Maintain separate lines for staff, electricity, service arrangements and equipment replacement when preparing the full laboratory business budget. This prevents a consumables-only estimate from being mistaken for the complete cost of providing the test.

Plan storage and the next order

WHO's guidance on procuring in vitro diagnostics highlights suitability for the setting, reagent stability and shelf life. Before buying a large stock, check that the laboratory can meet the specified storage conditions and use it within the permitted period.

For a facility in Juba sourcing from Kampala, add the agreed transport arrangements and replenishment lead time to the purchasing plan. Confirm any temperature-control requirements for each item; do not assume every reagent can travel or be stored in the same way.

Request a CBC package you can budget for

Browse Exper's CBC and haematology analyser range and laboratory equipment page. Send your facility location, expected monthly workload and preferred model, asking for both the startup package and a separately priced replenishment list. Use our quotation comparison checklist to record exclusions.
