A broken side rail is easy to photograph. What the photograph rarely shows is the exact bed frame, what mattress is fitted, or whether the proposed replacement leaves a hazardous gap. For the biomedical engineer raising a parts request, that information matters more than a visual match.

Identify the bed as a system
Record the bed manufacturer, frame model and serial number, rail position and any existing part reference. Add mattress model and dimensions, overlays in use and pictures of the mounting points without patients or identifying information. If labels are missing, mark the model as unconfirmed.
The FDA’s bed-system guidance describes entrapment hazards involving rails, mattresses and frames. A component change can alter the gaps between them. The appropriate solution is not necessarily a longer rail or adding another rail; the clinical team must also assess whether rails are appropriate for the individual patient.
Separate a parts quotation from a proposed modification
Ask the supplier to identify whether the offer is the documented replacement part for that frame or a different assembly. Request the supporting compatibility document, mounting hardware list and installation instructions. If the offer requires drilling, welding or changing a latch, refer it for manufacturer and qualified engineering review rather than treating it as a routine spare.
Consider a ward with several similar-looking beds bought in different years. One photo and a request for ten identical rails could produce ten wrong parts. Group beds by confirmed frame and rail reference; inspect uncertain units individually before extending an order.
Agree the release checks before installation
Have qualified personnel follow the manufacturer’s instructions and the facility’s bed-system assessment procedure, including attachment, latch function and the configured bed with its actual mattress. Do not improvise a gap test with a ruler and treat it as clearance for clinical use. Keep an unsuitable bed out of service under the facility’s procedure until the risk is addressed.
Record the part fitted and the person who accepted the repair against each bed’s asset number. Communicate any restrictions to the ward, especially if similar beds have different approved mattress or accessory combinations.
Send a parts enquiry that can be answered
Send Exper the frame label, rail reference if known, mattress details, quantity and delivery location. Ask for a documented match or a clear statement that compatibility cannot be confirmed. That answer is more useful than a replacement that merely looks right.
