A microscope quotation should describe more than a brand name and total magnification. For a clinic or laboratory buying in Uganda, the useful specification connects the microscope to the examinations the trained laboratory team will perform, the supplied optics and the items needed to keep it working.
Begin with the laboratory's intended work
Ask the laboratory lead to list the examinations for which the microscope will be used, the approximate daily workload and the experience of the intended users. Separate immediate requirements from future services. A microscope selected for routine brightfield work should not be assumed to cover specialised fluorescence, phase-contrast or imaging requirements unless those are explicitly specified and supported.
Send the same written requirement to each supplier. This makes the offers easier to compare and reduces the risk of choosing on magnification claims alone. WHO's guide to selecting basic laboratory equipment recommends linking procurement to local needs, power, maintenance and the complete life of the equipment.
Specify the complete optical configuration
Ask the quotation to identify the microscope model, viewing head, eyepieces, objective lenses, condenser, stage and illumination system. Have the laboratory professional confirm that the proposed objective set is suitable for the intended work. If an oil-immersion objective is required, include the appropriate immersion oil and the manufacturer's cleaning instructions in the enquiry.
- State whether a binocular viewing head is required and ask for its adjustment range.
- List each objective by magnification and optical type rather than accepting “complete lenses”.
- Confirm the eyepiece magnification and field of view.
- Ask how illumination intensity is controlled and what power input is required.
- Identify any camera port, camera, display or documentation software as an optional item unless it is written into the offer.
For example, the official Evident CX23 product page describes LED illumination, a field number of 20 and plan-achromat objectives for that model family. Those features should not be transferred to another microscope without checking its own manufacturer documentation.
Compare usability and the working environment
Ask users to assess the focus controls, mechanical stage, interpupillary adjustment and access to frequently used controls during a demonstration where possible. For shared benches, consider whether several users can adjust the instrument without disturbing the setup. Record the bench space and electrical outlet available before delivery.
Power interruptions and voltage quality can affect laboratory workflows. Ask the supplier to state the model's power requirements and any approved protection or backup arrangement; have the facility's technical team assess the proposed connection. Do not attach an unapproved power accessory simply because its plug fits.
Include care, storage and support in the order
Request the operating and maintenance manuals, dust cover, approved cleaning materials and any special tools supplied with the microscope. WHO's maintenance manual for laboratory equipment stresses that manufacturer-specific installation and maintenance information should be obtained during procurement.
Ask who will assemble and check the microscope, what operator orientation is included and how a fault will be reported. The quotation should distinguish the instrument warranty from exclusions for lamps, fuses, accidental optical damage or other consumable items. For delivery to Juba, clarify how the microscope will be packed, who receives it and the route for service support.
Use an acceptance checklist on delivery
- Match the model and serial number to the delivery documents.
- Count the head, eyepieces, objectives, power components and ordered accessories.
- Inspect the case, stage, controls and optical components for visible transport damage.
- Have authorised laboratory staff complete the agreed functional checks.
- File the manuals, warranty details and supplier contact with the asset record.
Our equipment handover checklist can be used alongside the microscope-specific acceptance procedure.
